How Much Event Staff Do I Need?

Most hosts start by thinking about bartenders, then realize partway through planning that drinks are only part of the picture — food service, setup, and guest support all need hands too. Here's how to think through your full staffing needs, not just the bar.
Start With Your Event Type
The kind of event you're hosting drives everything else. A seated dinner needs different staffing than a cocktail reception, and a corporate mixer needs different staffing than a backyard birthday party.
Bartenders

Waitstaff
For a seated meal, plan on 1 server per 15–20 guests for standard service, or 1 per 10–12 for a more formal, plated experience. For passed hors d'oeuvres during a cocktail hour, 1 server per 25–30 guests keeps trays moving without long gaps.
Event Helpers
Event helpers cover setup, breakdown, coat check, guest direction, and general support. Most events need 1–2 helpers regardless of size, with larger or more logistically complex events (multiple rooms, outdoor setups) needing more.
