1. Define the Event Type

Different corporate events need different staffing profiles. A holiday party needs bar-heavy staffing; a product launch needs polished front-facing staff; a conference booth needs personable, brand-savvy talent. Get clear on the event type before you post any roles.

2. Confirm Guest Count

Your headcount drives every other staffing decision. If RSVPs are still coming in, staff to your expected number and round up slightly — see our full event staffing ratio guide for specific numbers by role.

3. Choose Your Roles

  • Bartenders — for any event with a bar, open or limited
  • Waitstaff — for passed apps, plated meals, or buffet service
  • Barbacks — for high-volume bars over ~75 guests
  • Event helpers — for setup, breakdown, and general support
  • Promo models / brand ambassadors — for launches, trade shows, and activations

4. Sort Out the Venue Requirements

Many office buildings and event venues require a Certificate of Insurance (COI) before allowing outside staff on-site. Confirm this requirement with your venue early, and request the COI from your staffing provider with plenty of lead time.

5. Set Your Timeline

Event SizeRecommended Lead Time
Small office gathering (under 30)1–2 weeks
Mid-size party (30–100)3–4 weeks
Large event / holiday party (100+)6–8 weeks

6. Confirm Budget & Pricing

Get transparent hourly rates before you book — rates typically start around $35–$40/hr per staff member depending on city. Factor in the number of roles and hours needed to land on a total budget before you post your event.

7. Communicate Confidentiality Needs

If your event involves a product reveal, press, or sensitive discussions, mention any NDA or confidentiality requirements when you post your event so staff know what's expected.

8. Book & Confirm Day-Of Details

Once you've selected your staff, confirm arrival time, dress code, load-in instructions, and a point of contact for the day. A quick message the day before goes a long way toward a smooth event.
