Planning Your Wedding Bar

Timing, staffing, and bar style — the decisions worth settling before you book.

When to Start Booking

For NYC weddings, start looking for your bartender 4–6 months out if your date falls in peak season (May through October) or on a popular Saturday. For off-season or weekday weddings, 6–8 weeks is often enough. The earlier you book, the more options you'll have to compare.

How Many Bartenders You'll Need

As a general rule, one bartender comfortably serves 50–75 guests. For weddings, we recommend rounding up rather than down — you want your bar team to never look rushed.

Open Bar vs. Limited Bar vs. Cash Bar

Open bar means guests order freely at no cost to them — the most common choice for NYC receptions, and the option that needs the most bar staff. Limited bar (beer, wine, and a signature cocktail or two) reduces both pour time and cost. Cash bar shifts payment to guests and is less common at weddings, but can work for casual or budget-conscious celebrations.

Signature Cocktails: Worth It?

A named signature drink (or two) is one of the most-remembered small details at a wedding — and it doesn't have to be complicated. Many bartenders will work with you to build a menu around flavors, colors, or a story that matters to you, often at little to no extra cost beyond the standard rate.
